Powertrain Technical Project and Steerings

 Brief description of the position:

This position takes care of all the Business unit technical supporting related functions and operational topics regarding each department for VCTC YA. It acts as an internal team organizer, moderator, and an external coordinator to support the departments smooth operation and team organization.  Including efficiency programs-support AI technology, strategic planing, and process management

Key Tasks:

• Strategy & Pre-Development Roadmap: Milestone Mapping: Translate the high-level vision into a detailed, dependency-based Gantt chart or Kanban board (e.g., using Jira). · Decision Documentation: Create a "Decision Log" to track why specific strategic paths were chosen, ensuring auditability. Competitive Intel: Curate a monthly  "PT Competition Log" summarizing competitor and market trends from internet and supplier visits. .
• Process Installation & Workflow Optimization. Draft and implement and distribute clear Standard Operating Procedures and templates for the YA working methods.  Change requests, approvals, and weekly reporting—including evaluation matrices. Tool Standardization: Select and roll out a unified project management tool with custom fields, automation rules, and AI. The support and moderate the YA eDrive/Hybrid Gearbox / Charging change control board.
• AI Tools Exploration & Generation: Tool Audit & Piloting: Systematically test the available AI platforms  relevant team tasks and act as a multiplicator in the teams. Custom GPT/Agent Building: Create specialized internal AI assistants (e.g., a "Budget PR Bot" for quick spend queries, or Quick Project-Report using the YA templates)
• Supervising budget planing, spending, and budget control. Supporting on process acceleration with Purchase and Finance. Checking on compliant supplier ratings. Analyzing and Budget planing/spending charts to figure out root causes and propose measures charts together with the responsibles (TPL, FOP, ..). 
• Responsible for daily management of team and provide administrative support including meetings arrangement, office supplies management, food ordering, and traveling schedule planning, business trip planing, agenda preparation, preparation of meetings, and moderation.
• Responsible for project results coordination within the Powertrain department and steering and creation of Powertrain streategy and steering documents for the WS.
• Responsible for HR issue within department as contact person to HR department, including recruiting management, Organization chart update, attendance record and other HR relevant task.
• Responsible for the documents steering and preparation for the Powerhouse PG and TG and collection of the technical ppt.
• Responsible for the tracking of the Powertrain main projects and pre-development tasks and review preparation, including the Innovation topics.
• Responsible for preparation of department presentations e.g. on department introduction as well as strategical development and planning, Prepare quarterly town hall meetings, team events, and release celebration events. 
• Performing individual task-related duties in accordance with the knowledge and experience of the position holder.
• Advising other people holding positions at VCIC, its subsidiaries/associate companies, or cooperating organizations upon request and in consultation with the appropriate people responsible.
